Choosing childcare software is a big decision, because your team and your families will use it every day for years. If you're looking for the highest rated option, you deserve a clear answer, plus enough of the data behind it to check our work and reach your own conclusion.
We compared seven childcare platforms across four independent review sources: Capterra, G2, the Apple App Store, and Google Play. Then we looked at how users rate each one for the jobs you count on software to do, including billing, family communication, daily reports, attendance, and data security.
What is the highest rated childcare software?
Brightwheel is the highest rated childcare software of 2026. It's the only platform in the category rated 4.6 or higher on all four major review sources — Capterra, G2, the Apple App Store, and Google Play — with enough reviews on each to be reliable. It holds 4.7 across 3,257 Capterra reviews and 4.9 across 154K App Store ratings, making it the only childcare platform pairing a 4.9 app rating with a six-figure rating base.
Two platforms post a higher single score. Playground rates 4.8 on Capterra and 5.0 on the App Store, and Daily Connect rates 4.8 on Capterra. Both are working from smaller review bases — 194 and 306 Capterra reviews respectively. Procare Solutions is the only platform with a review volume comparable to brightwheel's, and brightwheel rates higher than Procare on all four sources.
How we define "highest rated"
"Highest rated" is an easy claim to make and a hard one to pin down. Any vendor can find one review site, one filter, or one week where they come out ahead. Here's the standard this guide uses, stated up front so you can apply it yourself or decide you'd weigh things differently.
A platform is "highest rated" if it holds the highest average user rating that holds up across every major independent review source, on a large enough sample to be reliable.
That breaks into four criteria:
- Rated on all four sources. Capterra, G2, the Apple App Store, and Google Play. A high score on one site is a data point, not a rating.
- Enough reviews to compare. At least 50 reviews on each software review site and 1,000 ratings on each app store. Below those numbers, a handful of reviews can swing a score half a star.
- Recent reviews. Feedback from the last 12 months, so the score reflects the product as it exists today rather than three years ago.
- Disclosed review mix. Whether reviews came in organically or through a vendor invitation with a small incentive — disclosed for every platform, brightwheel included.
Childcare software ratings compared
Seven platforms across four review sources, verified October 21, 2026. Review counts appear beside every score, because a score on its own doesn't tell you much.
Green marks a score of 4.6 or higher from enough reviews to compare (50+ reviews on a software review site, 1,000+ ratings on an app store). Gray scores come from smaller samples and shouldn't be weighed the same way.

What the app store data adds
Most software comparisons stop at Capterra and G2. For childcare software, that leaves out your most frequent users: families, who open the app several times a day on their phones. App store ratings capture that day-to-day experience, and they draw on far more ratings than the review sites do, which makes them a useful check on the rest of the picture.
App store scores come with a little context. Some platforms are used mostly outside the U.S., some have a smaller U.S. user base, and a few rely on a separate family app, so a rating built on a few dozen or a few hundred ratings can shift easily. That's why we show the rating count next to every score, and why volume matters as much as the number itself.
Brightwheel holds up well on both. It pairs a 4.9 App Store rating with 154K ratings, plus a 4.8 on Google Play, so families rate the app highly at a scale only one other platform in this comparison matches. A few platforms post equal or slightly higher scores from smaller bases, and one larger platform has more ratings overall, so it's worth weighing score and volume together. That's where brightwheel stands out.
A note on incentivized reviews
Some of the reviews on Capterra come from vendor invitations, sometimes with a small thank-you. Capterra labels each one, and the mix varies by platform, so it's worth checking the label when you read a review.

Green marks the top score on each feature among the three platforms with more than 1,000 Capterra reviews (brightwheel, Procare, and Lillio); ties are both green. Brightwheel is at or above the others on every feature. The smaller platforms, shown in italics, have far fewer reviews per feature, so their scores aren't directly comparable.

Billing, invoicing, and parent payments
Which childcare software is rated highest for billing? Among platforms with substantial review volume, brightwheel and Playground tie at 4.6 for payment processing — brightwheel from 206 reviewers, Playground from 134. Procare and Famly rate 4.4, and Lillio rates 4.2, where payments is its lowest-scoring feature.
Billing deserves the closest look of any feature here. It's the one that touches money, and every platform in this category collects complaints about it.
Brightwheel
Capterra's summary of 532 brightwheel reviews mentioning billing describes online invoices, autopay, receipts, and parent payment options in one place, with directors pointing to less paperwork and clearer payment tracking.
"Brightwheel has made the daily management of my daycare so simple and efficient. I can do child scheduling, employee scheduling, time tracking, billing all in one place." — Renae T., Owner, Child Day Care Services · 5/5 · August 2026
"Our collections have been so much easier with brightwheel." — Diane L., Weekday Director, Education Management · 5/5 · November 2024
Payment processing is a bright spot against the other large platforms. Brightwheel scores 4.6 from 206 reviewers, ahead of Procare (4.4) and Lillio (4.2) and level with Playground.
"I LOVE that I don't have to worry about collecting paper checks as parents pay directly to my bank on the app." — Andrea L., Owner, Education Management · 5/5 · March 2025
Brightwheel also connects with QuickBooks Online and Gusto and families rate the app itself highly: 4.9 across 154K App Store ratings, which is where autopay and payment reminders land for parents.
Some administrators find refunds, credits, custom due dates, and multi-child payment options harder to manage.
Good fit for: Programs that want billing, family communication, and daily reporting in one easy-to-use system, and a family app rated 4.9 across 154K App Store ratings.
Procare Solutions
Procare has deep roots in financial management and handles complex billing scenarios including variable tuition rates and subsidy billing. Its attendance management is its strongest theme, positive in 94% of 172 mentions, and reviewers often describe billing as part of that same workflow.
"Billing, attendance tracking, and child check-in and check-out are all handled efficiently in one easy-to-use system." — Yesenia A., Director of Operations, 11–50 employees
Accounting integration is where reviewers ask for more. Fifty-one percent of 138 relevant reviews raise it, most often around reconciliation. Integration with other software is a related ask:
"Procare also does not offer integration with other software like kidkare to capture new student enrollment/information." — Patricia A., Assistant Director · 4/5 · October 2025
"Billing can be difficult to understand and help parents with as well as not communicating with parents." — Kayla M., Director, Education Management · 4/5 · June 2026
One assistant director asked for tuition automation Procare doesn't yet offer: if a rate or fee is attached to a program, "the system should automatically apply those charges to the child's account when they are enrolled, reducing the risk of errors and saving administrative time" (Giovanna B., June 2026).
Reviewers also describe technical friction: 47% of 243 mentions raise bugs and slowdowns, and 50% of 220 mentions raise desktop and mobile syncing, including that the desktop version is Windows-only.
Good fit for: Programs with complex financial requirements and administrative staff who can handle accounting reconciliation outside the platform.
Playground
Playground matches brightwheel's payment processing score at 4.6, from 134 reviewers, and reviewers praise its invoicing flexibility:
"The way we can just click and fix any type of last minute adjustment in the invoices." — Lynette V., Director, Child Day Care Services · 5/5 · January 2026
Reviewers consistently mention a ramp-up period. Capterra's ease-of-use summary, based on 54 reviews, notes that "some new users need time to understand navigation, and billing adjustments can feel complex or require extra steps":
"The billing took us a little while to get used to but the support team was amazing in teaching us the best ways to utilize mass billing and as well as other needs we had." — Brooke B., Director, Child Day Care Services · 5/5 · February 2026
Worth knowing as you read Playground's reviews: 9 of its 10 most recent Capterra reviews were invited by the vendor with an incentive offered, its most recent review dates to April 2026, and 38 of its 39 G2 reviews arrived between February and April 2026.
Good fit for: Programs willing to invest onboarding time up front in exchange for strong billing automation.
Lillio
Lillio's payment processing score of 4.2 is its lowest-rated feature, and only 32% of its reviewers treat payments as an important factor — a sign most programs select it for other reasons. Its most-cited complaints are app slowdowns and crashes, negative in 84% of 157 mentions, and login and password problems, negative in 75% of 53 mentions.
The sharpest billing feedback comes from a director who left for another platform:
"The customer service and billing was terrible. My business didn't feel valued when they made mistakes. It took a months to fix including receiving money that was owed to me." — Samia R., Director, Child Day Care Services · 2/5 · January 2026
Good fit for: Programs where documentation and child development tracking matter more than billing depth.
Famly, Daily Connect, and Kangarootime
Famly includes instant parent payments and financial reporting in its Starter plan and integrates with accounting and payment tools such as QuickBooks Enterprise, Xero, and Stripe. Its payment processing score of 4.4 rests on only 18 reviewers, so treat it as a light signal. One director reports running invoicing on an external system because she can't sort ad-hoc bookings. Good fit for: U.K. and E.U. programs that want payments, financial reporting, and accounting integrations in one platform.
Daily Connect handles straightforward invoicing well, and its payment processing score of 4.8 comes from only 26 reviewers. One reviewer notes the desktop experience is more reliable than mobile. Good fit for: Home-based providers and very small programs with simple invoicing needs.
Kangarootime rates 4.8 for payment processing from 21 reviewers. Capterra's summary of 38 reviews notes it works well for programs wanting less manual collection, while some find invoice edits, credits, and unusual billing schedules more time-consuming than expected. Good fit for: Small to midsize programs with straightforward billing structures.
Questions to ask any vendor about billing
- "Show me how you handle a family on CCAP subsidy with a copay."
- "Show me how I issue a partial refund mid-cycle and what the family sees."
- "Show me what happens when a payment fails on a Friday afternoon."
- "Show me how I bill a family whose child attends Monday, Wednesday, and alternating Fridays."
- "What are your payment processing fees, and do they change by payment method?"
Parent portal and family communication
Which childcare software has the best parent portal? Daily Connect rates highest at 4.8, from a smaller sample of 144 reviewers. Brightwheel, Lillio, and Playground tie at 4.7, with brightwheel's coming from 315 reviewers, the largest of the three. Famly rates 4.6, and Procare rates 4.5 from the largest sample, 734.
Capterra's summary describes brightwheel's portal as a secure, real-time place where families can view their child's activities, communicate with teachers, and manage payments. Reviewers appreciate the instant updates, easy messaging, and photos, though some mention technical issues for families with children at multiple centers.
"I love that Brightwheel allows me to be a more active participant in my child's daycare experience. I am able to change my payment method if needed. I also have access to photos taken during the day and can message my providers!" — Hailey S., Teacher, Education Management · 5/5 · June 2025
Which childcare app is rated highest for family communication? Among high-volume platforms, Playground leads at 4.8 from 143 reviewers, with brightwheel at 4.7 from 278 — roughly twice the sample. Lillio and Famly rate 4.6, and Procare rates 4.5 from the largest reviewer base at 573.
Communication is brightwheel's strongest area by reviewer sentiment. Capterra identifies real-time parent-teacher connection as its leading positive theme, at 92% positive across 1,626 mentions — the largest body of positive feedback for any feature on any platform in this comparison.
"My days are very busy, the app helps me show parents everything their children has done throughout the day and parents LOVE it!" — Tynei H., Childcare Director, Education Management · 4/5 · August 2024
For the family side of the experience, app store ratings are the more useful signal, since that's where families actually spend their time. Brightwheel holds 4.9 across 154K App Store ratings and 4.8 on Google Play.
Daily reports
Which childcare software is rated highest for daily reports? Brightwheel and Daily Connect lead at 4.7, with brightwheel's coming from 272 reviewers against Daily Connect's 138. Lillio, Playground, and Famly rate 4.6, and Procare rates 4.5 from 336 reviewers.
Capterra's summary says brightwheel's daily reports give families timely updates on meals, naps, activities, and behavior, and that users think they keep families informed, support compliance, and reduce paperwork. Reviewers value the real-time updates and being able to print or access reports anytime.
"It has been a great experience! At first I was hesitant, but once I made the switch it made it so much easier to stop emailing photos to parents, writing down reports and having it all nicely in one application completely digitalized." — Madison M., Assistant Teacher, Child Day Care Services · 5/5 · February 2025
Good fit for: Programs that want real-time daily reports with photos that families see as they happen and that cut down on paperwork.
Attendance, check-in, and check-out
Which childcare software is rated highest for attendance tracking? Playground, at 4.8 from 149 reviewers. Brightwheel and Procare tie at 4.7, from 327 and 801 reviewers respectively, which makes brightwheel's the second-largest sample on this feature. Lillio rates 4.6.
Brightwheel's reviewers describe attendance as a time-saver that ties into the rest of the platform. Capterra's summary says users find it streamlines record-keeping, supports billing and compliance, and helps with staffing, with real-time views of check-ins, absences, and pick-ups. Check-in runs on kiosk and QR-code options, personalized PINs, and authorized pickup lists, and families are notified when attendance changes.
"It houses all of the features we need for our child care program. Attendance, parent communications, staff information, student information and more!" — Rachel W., Director, Child Day Care Services · 5/5 · April 2025
Test check-in on your own devices before you commit. Glitches at the sign-in tablet are the most-cited complaint across the entire category too. Procare's reviewers raise bugs and slowdowns in 47% of 243 mentions, and Lillio's app slowdowns are negative in 84% of 157. A demo on your own hardware and network tells you more than any rating.
Other features worth asking about
Capterra doesn't publish comparable feature-level ratings for enrollment, staff scheduling, or curriculum, so we haven't ranked platforms on them. These are the questions worth raising in a demo.
Enrollment and admissions. Brightwheel reviewers point to digital enrollment paperwork and fee collection: one director says it "now allows for enrollment paperwork to be signed digitally and for fees to be collected through the app" (Lisa N., Director of Educational Technology, May 2026). Playground focuses heavily on enrollment and waitlist workflows, and reviewers cite them as a reason for choosing it. Ask each vendor how it handles online applications and waitlists.
Staff scheduling. Brightwheel includes employee management and scheduling tools, and reviewers value having staff and child management in one system. One owner calls it "wonderful for student management, employee management and communication with parents" (Renae T., August 2026). The most requested improvement is scheduling flexibility, such as every-other-week options, so if your program runs rotating schedules, confirm that in a demo.
Curriculum and assessment. Brightwheel supports lesson planning, observations, and progress records. Lillio places more emphasis on curriculum and documentation, and dedicated assessment tools like Teaching Strategies compete here as well. If you run a formal assessment framework, evaluate those alongside a management platform rather than expecting one tool to cover both.
Why programs switch to brightwheel
In their own words: why programs choose brightwheel.
Easier to use, for teachers and families. The most common reason reviewers give for switching to brightwheel is ease of use. A director who moved from Procare said brightwheel "was easier to use, with more of a range of capabilities." A digital systems manager who left Lillio said their staff "just quit using it because it was so difficult." And one program that moved from ProCARE Portal chose brightwheel for "the ease and features," even though it cost more.
More functionality in one place. A daycare owner who switched from Procare said, "I liked the functionality much better." A director who left HeadMaster said, "It is so much easier to use, and the collections are done all in one place." And one program that had been running everything on Google Drive and printing paper copies moved to brightwheel because "it had everything we need."
Cost. A teacher who moved from Procare said "brightwheel is [c]heaper and easier to use," and a digital systems manager called brightwheel "very very affordable."
A smooth switch. One teacher put it this way: "I was scared about making the switch to brightwheel but I really am glad we made the switch now."
Matching software to your program
Ratings don't map neatly onto needs. The platform that suits a 300-child program will frustrate a family child care provider, and the reverse is just as true.
Family child care homes (1–12 children)
Your priorities are ease of use, affordability, and family communication. You're the director, teacher, and administrator at once.
Good options: Brightwheel (strong family app, all-inclusive pricing), Daily Connect (lowest entry cost in the category), and Lillio (simple and straightforward).
Small programs (13–60 children)
Your priorities are dependable billing, solid family communication, and time savings for a small administrative team. Support quality matters here, because you won't have time to troubleshoot.
Good options: Brightwheel (billing and communication in one place), Playground (highly rated support), and Procare (if your billing is already complex).
Medium programs (61–100 children)
Your priorities are operational efficiency, compliance reporting, and family experience at scale. Manual processes stop working somewhere in this range.
Good options: Brightwheel (handles this scale with full feature access), Procare (deep financial management and attendance capability), and Playground (if enrollment management is a priority).
Large programs and multi-site operations (100+ children or multiple locations)
Your priorities are centralized visibility, consistent family experience across locations, enterprise billing, and scalable staff management.
Good options: Brightwheel (built to scale from one site to many) and Procare (enterprise billing depth).

Choosing with confidence
When evaluating childcare management software, ratings are a great place to start, but they're not the finish line. The best childcare software is the one your team will actually reach for every day. Ultimately, user-friendly software for your staff paired with a quick, supportive customer service team will impact your program far more than an extensive list of features that your employees end up avoiding.
Taking the next step is straightforward: schedule demos with your top two contenders and center the conversation around your daily operations. Bring your most challenging billing situations, ratio queries, and your most hesitant staff member. Observing their response after 20 minutes will offer far greater insight than any rating grid, this one included.
